How to Drive Employee Motivation by Encouraging Ownership

In simpler words, it is a basic human nature not to obey orders. Every human has a tendency to rebel and thereby prefer to work in their own sweet way. Therefore a good manager is the one who allows his team to work whatever way they like as long as the work is getting done up to the mark and on time. This means letting go of  the control and make your team in charge of certain things. “Autonomy, in other words, is the antithesis of micromanagement.”

Cheverie says “Instead of focusing on the minute details, you now need to direct your focus to the goals and strategic objectives for each staff member. Let them take care of the minor details of meeting those expectations. If you are able to create autonomy while holding people accountable for stated goals and objectives, you’ll find that the details get done without your having to worry about them.”

You can encourage autonomy by doing the following.

1. Start With The Why - Why the work your doing is crucial for the company? The answer to this instills the employee with a sense of responsibility that if the work is not done due to any reason, the company is going to suffer and so will their future in it.

2. Allow Them To Speak Up - A good manager is the one who encourages a two way communication. Only then would you be able to achieve the sense of ownership in the employees as they would feel that they have been part of the work since the very beginning and that the work is not being imposed on them.

3. Leave The How To The Employee - Let them decide how will they achieve the task with an assurance in the background that you are there to assist them or support them if anything at all goes wrong. This sense of assurance creates a level of confidence that encourages the employees to take risk and work without fear.

The 5 Whys Of Root Cause Analysis


Root Cause Analysis (RCA) is an often-used technique that is done in order to know why the particular problem happened at the first place. This technique is quite popular amongst analysts who try to identify the origin of a problem using a specific set of steps. There are a lot of tools associated with root cause analysis. Students doing PGDM in Hyderabad, Delhi, Mumbai, Pune etc get to learn this technique by various problem solving assignments and projects.

A basic assumption behind the RCA is that all systems and events are interrelated that is in order for an event to happen, there must be something in the current system that needs to be improved in order to make sure that it doesn’t happen again. In other words, any effect is the result of a chain of actions that has happened back to back that is an action in one area triggers an action in other area, which in turn triggered the action in other area and so on. RCA looks at all the causes and investigate the patterns of negative effects by discovering the specific actions and finding hidden flaws that lead to the problem.

PGDM Colleges in Hyderabad lay special stress on RCA and it’s 5 whys. Asking “why” to a problem is not an easy task. The technique of 5 whys  is used in identifying the root cause of the problem. The fundamental of this technique is very simple. You simply ask “why” five times. This helps in systematically peeling off the layers one by one and once all the layers of symptoms are stripped away, the root cause of the problem becomes crystal clear.

How to Conduct The 5 Whys?

A stepwise guide to following this technique is as follows:

Step 1 - Write down the problem on a clean sheet of paper. Even though you know the problem but writing it down adds that ensurance to the fact that everyone involved in the RCA are on the same page and there is no difference in opinion.

Step 2 - The next step is to ask why the problem happened in the first place. Write down all the possible answers  to this in the sheet of paper.

Step 3 - The next step is to dig deeper. Go through the answers you wrote down in step 2 and ask the why to these answers in order to understand the cause better.

Step 4 - Repeat the process till the time you are satisfied that you have uncovered the truth. Studies have shown that it usually takes 5 whys or  less to uncover the truth but if you are still not satisfied, you can always dig in deeper.

The technique of 5 whys are one of the most effective and simplest forms of troubleshooting a problem. Not only it helps you find the root cause to a problem but also helps in identifying the process to a much deeper level. You can use this technique in improving the quality of your organization’s process as well as in solving simple problems.

“You can manage things but how about knowing how to manage people?”

“Things can be managed but a true manager is someone who knows how to manage people,” said Ms. Vijay Lakshmi, Head L & D, Nspira Management Services at a latest seminar at Vignana Jyothi Institute of Management, Hyderabad which was around the topic- "Role of HR in Organisational Citizenship Behavior (OCB).


Hosted for the PGDM students of the school by the HR Committee, this 20th August seminar also had Mr. Phani Kumar, Manager, HR, Kogentix interacting with the students and taking their questions.

Ms. Lakshmi explained how the role of an HR has come a long way in India and how it is evolving every single day. “It isn’t easy to handle the Human Resource of a company because managing people is the toughest job ever in the field of management, and the expectation of the organization on HR is high because now a days people not only want smart TV and mobile but also smart employees,” exclaimed Ms. Lakshmi. 
The OCB interaction touched topics like-
a. Organizational Citizenship Behavior
b. Importance of HR in developing OCB
c. Understanding the impact of effectiveness of OCB in organizations
Organizational Citizenship Behavior is something an individual plays independently within an organization and unless you are trained in it or attentive towards it, you will not contribute to the overall growth of the organization. To define it in simpler ways, OCB is a person's voluntary commitment within an organization or company that is not part of his or her contractual tasks.




Mr. Kumar simplified it for the students further by explaining how one can achieve OCB by following the below listed factors:

·         Altruism – quality of unselfish concern of others
·         Courtesy – polite behavior
·         Sportsmanship – fairness in following rules
·         Conscientiousness – reasonable level of self-control
·         Civic sense how well a person represents an organization
“Anybody can perform well in work allotted to him/her, but a true employee is he who goes an extra mile to perform extraordinarily,” said Manager, HR, Kogentix in his speech. “He’s the successful employee and organization needs such people,” Mr Kumar added further.

WHY PGDM AND NOT MBA?



Very often, management students stand on this cross road and wonder, PGDM or MBA? Which one will land me my dream job? Which one makes me academically better? Which one is meant more for me and is not the way of the herd? A very common debate! Let us sort this out for you.

An MBA is for those who seek a university programme to get a holistic view of Management while the PGDM is for those who seek specialisation in a particular area of their interest,” feels V. Venkataramana, Dean, School of Management Studies, University of Hyderabad.

PGDM, strictly speaking, isn't a degree. So, in a degree hungry country like ours, why at all should a person go for it? As stated above, PGDM gives you a tunnel vision, yes, but keeps you focused on what you want to achieve rather than give you a broad based idea of things. While MBA is seen as a natural set up after a graduate degree, PGDM is seen as a diploma pursued for professional advancement and a very relevant one for growing fast in your profession.

As far credibility of a diploma vs. degree stand, there are times a PGDM might end up scoring higher than a plain MBA because it might be suited better to the job description.
         
While an MBA is regulated by the UGC, a PGDM is regulated by the AICTE. This gives institutions offering a PGDM course higher autonomy than those offering plain, vanilla MBA courses. Even though both courses give you an insight into and knowledge of Business Administration, the approach and concentration of what is taught is fairly different.
         
PGDM tackles the more practical fields of education as compared to MBA that provides you academic knowledge. The basic difference between the two is that the former makes you street smart and the other makes you book wise. Hence, more of professionals who want to advance their fields should usually go in for a PGDM.

Fee structure for PGDM courses is much higher as compared to MBAs but if your purpose is to seek advancement in your chosen field, a PGDM might be a better card to pick over a generic MBA which might end up not helping you at all. Since a person would be devoting an exact same amount of time (i.e. 2 years) one might want to work toward a specific goal than being the jack of all trade and master of none.

One of the key things where PGDM triumphs over MBA is the interval in which the curriculum is updated. Since recognised universities hand out MBAs, the curriculum there is a little rigid compared to the fairly autonomous institutes that aren’t governed by the UGC. Usually, a curriculum update takes less time and is more fluid while pursuing PGDM.

As far as placements depend, the onus goes to the institution more than the course and though there are arguers in favour of and against both courses, they would seem neck to neck to an unbiased eye.
